We review the facts, verify the records, organize the evidence, and prepare the response.

1. The Problem

A carrier may need the broker transaction record to understand the parties, shipment, broker compensation, freight charges collected, or payment date. An overbroad or poorly identified request can obscure what the regulation actually covers.

2. What Grande Trucking Support Reviews

  • Rate confirmation, BOL, freight bill, invoice, and POD
  • Broker and carrier legal names and identifiers
  • Consignor and shipment-identifying information
  • Prior record requests and responses
  • The current text and scope of 49 CFR 371.3

3. What Grande Trucking Support Does

  • Identify the specific brokered transaction
  • Prepare and send a focused written record request
  • Preserve delivery confirmation and track the response
  • Review records received for required elements
  • Prepare follow-up correspondence or a complaint package when supported

4. What the Customer Sends Us

  • Rate confirmation
  • BOL or freight bill number
  • Invoice and POD
  • Broker and carrier identifiers
  • Prior correspondence

5. What the Customer May Receive

  • A customized transaction-record request
  • Proof-of-delivery preservation plan
  • A review of the records received
  • Follow-up or escalation correspondence

6. Possible Escalation Options

  • Follow-up record request
  • Evidence package for refusal or nonresponse
  • FMCSA complaint review
  • Attorney referral when legal advice is required

7. Important Limitations

49 CFR 371.3 requires specified transaction records to be kept for three years and gives each party a right to review the required record. It does not promise that a request will prove wrongdoing, determine the proper freight rate, invalidate a contract, or guarantee payment.
